Sales meetings properly prepared and followed up the same day

Most salespeople recognise that they should prepare more thoroughly. In practice, research is often limited to a few minutes on the prospect’s website immediately before the meeting, and the follow-up is deferred until the end of the week, by which point the conversation has lost momentum and much of the detail has been forgotten.

With the Sales Support Agent, each salesperson receives a one-page brief before the meeting and a follow-up drafted from their notes immediately afterwards. They review the brief and add their own knowledge, then check and edit the follow-up before sending it themselves.

Meetings prepared in haste, follow-ups sent days later

How long

Typically 4–8 weeks

You would measure

Hours from meeting to follow-up sent

Recorded only with consent. Salespeople send every follow-up.

Why salespeople arrive unprepared

Research left to the last minute

A brief look at the prospect’s website and LinkedIn, time permitting, and nothing on what you have previously sold to them.

Follow-ups that are delayed

Notes written up at the end of the week, by which time the opportunity has passed and the prospect may have spoken to a competitor.

A CRM that is not fully relied upon

Many meetings are never recorded, so the next person to contact the customer starts without any history.

How a prepared meeting works

These are the principal changes we would expect to make, shaped around how your team sells.

Today

  • Search the prospect’s website and news manually
  • Rely on memory in the meeting
  • Write up notes later, if at all
  • Write the follow-up from scratch
  • Update the CRM when time allows

Redesigned

  • A research note on the prospect from public sources, checked against your ideal customer profile
  • A one-page brief: what you know, what to establish, which case studies are relevant and what to avoid saying
  • Notes or a transcript captured in the meeting, with consent
  • A follow-up email, CRM update and action list drafted the same day
  • The salesperson checks, edits and sends

Responsibilities

The agent

  • Researches the prospect company from public sources, by business role only
  • Prepares the one-page brief using your CRM history and sales library
  • Drafts the follow-up email and action list from the notes
  • Proposes the CRM update

Your salespeople

  • Lead the meeting and build the relationship
  • Commit to prices, dates and scope
  • Check and send every follow-up
  • Own the CRM record

The build behind it: Sales Support Agent

A quick-win build that draws on a sales library: your offer, ideal customer profile, qualification questions, approved case studies and answers to common objections. We draft the library from material you already hold, and you approve it. We would suggest beginning with one type of meeting, such as first meetings with new prospects, and piloting it with a small number of your salespeople in live meetings.

Questions about sales meeting preparation

If your question is not answered here, please email hello@teamagentic.co.uk and we will reply promptly.

Does the AI attend our meetings?

No. It prepares material beforehand and drafts afterwards, from your notes or from a transcript recorded with the agreement of everyone present.

Why can the agent not send follow-ups itself?

Follow-ups contain commitments, prices and personal details, so a person checks and sends every one. The agent provides a well-prepared draft on the same day.

Does it work with our CRM?

We confirm how your CRM shares data during scoping, before you commit. If a connection is not possible, salespeople enter the suggested update themselves.

Can it find new leads for us?

That is a separate task. This build supports the meetings you already have; it does not carry out cold outreach or purchase lead lists.
