Month-end reporting without days of manual compilation

In many businesses, the management pack is a recurring monthly burden. Figures are exported from the accounting system into the same spreadsheet, the same charts are rebuilt, and a senior member of staff writes the commentary late in the week. By the time the leadership team reads it, the month is well behind them.

Team Agentic would begin by removing the manual compilation. The pack and a first draft of the commentary would then be prepared for your finance lead to review and approve. Alongside them, the agent would provide a rolling weekly cash forecast and reminders for overdue invoices, drafted for a member of your team to send.

Why the monthly pack takes so long

Rebuilding the same spreadsheet

Each month, a member of staff pastes in the exports, checks the formulas and redraws the charts. The work is identical each time, and late in the evening it is easy to enter a figure incorrectly.

Commentary written from a blank page

Explaining a movement in gross margin requires the person who knows the business best, and that person is usually the last to have time for it.

Cash position visible only in hindsight

Overdue invoices are identified at month end and pursued one email at a time, and a tight week therefore arrives without warning.

How the month-end process changes

The following describes how we would expect the process to work, although we map your own month-end before settling on any design. The first question is always which pages of the pack are actually read. Those that serve no purpose are removed before the remainder is automated.

Current process

  • Export from the accounting system
  • Rebuild the spreadsheet and charts by hand
  • Produce pages that nobody reads, out of habit
  • Write the commentary from scratch
  • Identify overdue invoices at month end
  • The pack reaches leadership several days after the month closes

Redesigned process

  • Figures drawn from your system consistently each month, with KPIs defined once
  • Unused pages removed, with your agreement
  • The pack and draft commentary prepared, with questions raised where the figures require explanation
  • Your finance lead answers the questions, edits and approves
  • A rolling weekly cash forecast, with any week below your minimum balance flagged
  • Overdue reminders drafted by stage, for a member of your team to review and send

We also establish what your accounting system can already do. Its own reports or automatic reminders may cover part of this requirement, and there is no value in building what you already have.

Responsibilities

The agent

  • Extracts the month’s figures and builds the pack to the agreed layout
  • Drafts commentary on significant movements, using only your finance team’s explanations
  • Raises questions on anything it cannot explain, rather than making assumptions
  • Updates the cash forecast each week
  • Drafts reminders for overdue invoices and withholds those for disputed or sensitive accounts

Your people

  • Decide what the pack should show and for whom it is intended
  • Review, edit and approve the pack and commentary
  • Approve and send every reminder
  • Act on what the figures show
  • Own the agent: a named person reviews its work

Measuring the difference

We record your starting point before the build and then measure the pilot against it.

Time saved

hours spent producing the pack each month, and on forecasting and credit control each week.

Faster delivery

working days from month end to the pack reaching leadership.

Better quality

errors and corrections identified after the pack has been issued.

Cost removed

debtor days and overdue balance, measured against your starting point.

The build behind it: Management Reporting Pack

A quick-win build, configured from a finance guide that records your KPIs and how each is calculated, the pack layout, your cash forecast rules and the stages of your credit control process. We test it on your own past months, and the pilot then runs one live month-end in parallel with your existing process, so that you can compare the two.

Questions about month-end reporting

If your question is not answered here, please email hello@teamagentic.co.uk and we will reply promptly.

Will it work with our accounting system?

We establish how your system shares its data during scoping, before you commit to anything. If it cannot provide what is needed, we will tell you.

Does the AI make financial decisions?

No. It prepares the pack and drafts the commentary; your finance lead reviews everything, and every decision remains with your people. It does not provide financial, tax or legal advice, and any such matter should be referred to your accountant or adviser.

Can it contact customers about overdue invoices independently?

No. It drafts the reminders, and a member of your team approves and sends each one. Nothing is changed in your accounting system.

Where is our financial data held?

It remains in your systems and your own workspace, on the AI platform you license directly. We agree the data protection position before the build begins.

What if our accounts are not in good order?

The pack can only be as reliable as the figures behind it. If the underlying data needs to be put right before the pack can rely on it, we will tell you, and Data & Systems Readiness is the appropriate starting point.

Data & Systems Readiness →

Is it worthwhile for a small business?

If your pack is a single page produced directly from the accounting system and you have few customers on credit, it is unlikely to be. Your system’s own reports may be sufficient, and we would rather tell you that than sell you a build.
