Your certificates, policies and renewals in one register, with questionnaires drafted from it

A new customer sends a supplier questionnaire requesting your public liability certificate, your health and safety policy and proof of an accreditation. A member of staff spends the afternoon searching inboxes and filing cabinets, and discovers in the process that one certificate expired last month. The following week, a different customer asks most of the same questions in a different format.

Instead, every certificate, policy and item of audit evidence you hold is recorded in a single register, with owners, cover levels and dates. Each month the agent checks for anything expired, due or missing, and drafts questionnaire answers from the register with every gap marked. A named person checks and submits every questionnaire.

How long

You would measure

Renewals missed or late

Practical support, not legal advice. A named person checks and submits every questionnaire.

Common problems with compliance evidence

Evidence that cannot be found

Evidence spread across inboxes, shared drives and the filing cabinet in the office.

Renewals that lapse

Insurance and accreditations found to have expired at the worst possible moment, typically when a customer requests them.

Questionnaires completed from scratch

Every supplier or pre-qualification questionnaire answered afresh by hand.

A single register, kept up to date

This is how we would set up the register. However, if a shared calendar of expiry dates would cover your renewals, or you answer only one questionnaire a year, we will tell you that the build may not be worthwhile.

Today

  • Search for each document when it is requested
  • Renew only when someone happens to notice
  • Answer each questionnaire from scratch
  • Bids held up by missing evidence

Redesigned

  • One register: what you hold, owners, issuers, cover levels and dates
  • Expired, due and missing items flagged each month, in good time
  • Register changes drafted from new documents, for your compliance owner to approve
  • Questionnaire answers drafted from the register, with every gap marked
  • A named person checks the answers and submits them

Responsibilities

The agent

Your people

  • Approve every register change
  • Renew on time (each item has a named owner)
  • Check, sign and submit every questionnaire
  • Refer legal or regulatory questions to an adviser

The build behind it: Compliance Document Assistant

A quick-win build. The pilot runs for four weeks, with two register checks and at least two live questionnaires, the first of which is also answered in the usual way so that you can compare the results. If you also have the Tender Finder or Proposal Accelerator, they can draw on the same register.

Your named owner operates it, with the Managed service if required

Questions about compliance documents

If your question is not answered here, please email hello@teamagentic.co.uk and we will reply promptly.

Is this legal advice?

No, it is practical support. It organises the evidence you hold and drafts answers from it. Anything that requires an adviser is marked accordingly.

Will it submit questionnaires for us?

No. It prepares drafts, and a named person checks, signs and submits every one.

Who updates the register?

It drafts changes from new documents, and your compliance owner approves each one.

Can it write the policies we are missing?

It identifies what is missing, but it will not create policies, certificates or evidence you do not hold. An item marked ‘in progress’ is never recorded as held.
